Our Booking Terms & Conditions Contract
- The booking terms & conditions contract becomes effective on the date the clients booking is confirmed in writing and communicated to the client by fax or by e-mail and the confirmation deposit payment referred to in Clause 2.1, is received by Zimbabwe Safari (hereinafter known as the Company)
- Clients making a reservation as per Clause 8.4 accepts and agree to the terms and conditions of this agreement set out hereunder.
How to book
- Once a booking is confirmed a 30% deposit of the full invoice amount due is required to confirm and hold any reservation and is to be done by the agent or client (see Clause 8.1) in writing, by fax or e-mail.
- Zimbabwe Safari Company must receive the balance of the agreed invoice price no later than 42 days prior to the client’s date of departure.
- If Zimbabwe Safari Company does not receive the full invoice amount 42 days before the departure date, the Company MAY cancel the reservation and retain any deposit or other funds it has already received from the client or agent.
How to Pay
All payment options will be provided upon confirmation of a booking by your Travel Expert or Zimbabwe Safari Company accounts department.
Cancellation
- Cancellations regardless of the reason must be done in writing and sent through to Zimbabwe Safari Company by fax or email whereupon cancellation charges as per Clause 4.2 will apply:
- If the safari is canceled, the following cancellation fees apply:
15 – 30 days’ notice: 20% of full amount
8 – 14 days’ notice: 50% of full amount
0 – 8 days’ notice: 100% of full amount
- No refund will be made by Zimbabwe Safari Company if for any reason, inclusions or parts of the tour cannot be carried out / or utilized. This would include all facets such as meals, game drives, accommodation etc. This would also apply to any client who has booked a tour but fails to undertake the tour for any reason.
Booking changes
If a for any reason a client decides to change their safari dates to an earlier or later date than originally booked, Zimbabwe Safari Company will endeavor to change it. If the booking is for a later date, changes as per Clause 4.2 could apply.
Price changes
Zimbabwe Safari Company reserves the right to increase the price of any safari before departure due to factors beyond the control of the Company, such as, but not limited to, an increase in fuel prices, new Government legislation, accommodation price increases, fluctuations in exchange rates, etc.
Changes to tours
Zimbabwe Safari Company shall use its discretion to alter the terms of the booking in relation to the route, timetable, itinerary and accommodation. Every effort will be made to communicate this to the client and reasons clearly outlined and Zimbabwe Safari Company shall, however, make every effort to offer the client an alternative tour of a comparable standard.
If for any reason the alternative safari is of a lesser standard, the client will be fairly refunded the difference, but should there be an increase, the client shall have the right to reject the alternative, and obtain a refund of the relevant portion of the original contract sum, or accept the alternative and pay the increased cost. Should the client reject the alternative tour and asks for a refund, this will be treated as a cancellation and the refund will be calculated according to Clause 4.2 hereof. The client shall have no claim against the Company for any damages arising out of the alternative booking.
Responsibility and liability
- Zimbabwe Safari Company or any person acting for, through and on behalf of the Company shall be liable for any loss or damage arising from any clause whatsoever and without restricting the generality of the foregoing shall particularly not be responsible for the loss or damage emanating from any errors or omissions included in its brochure or other literature, late or non-confirmation or acceptance or bookings, loss or damage caused by delays, sickness, injury or death, whether occasioned by negligence or not.
- Zimbabwe Safari Company has the right at its discretion to cancel or the remainder thereof or to make an alteration in the route, accommodation price or other details in cases where any event of any safari is deemed impossible, illegal or inadvisable by weather, avalanches, strike, war, government or other interference or due to any other cause deemed reasonable enough to warrant such changes. Any extra expenses incurred as a result will be the responsibility of the client.
- Zimbabwe Safari Company may cancel, or terminate, a client’s booking in the event of illness or the illegal or incompatible behaviour or any client going on the safari. No refund is entitled to the client in such cases.
- Clients who confirm a reservation with Zimbabwe Safari Company (refer to Clause 1.1) confirms that he or she has the necessary authority to enter into this contract on behalf of the person or persons included in such a booking where such a person is representing a family, friends or a group. The client making the reservation shall be liable for the total amount due to the Company.
Client’s obligations
- All clients shall take it upon themselves to obtain the necessary comprehensive travel insurance before departure for any possible cancellations, medical expenses, protection or personal property and money.
- It is upon the client to ensure that all travel documents including visas are valid for the duration of the safari. Zimbabwe Safari Company cannot be held liable for inconvenience or cancellations caused by lack of valid visas or other travel documents not held by clients.
Health and personal safety
- All clients shall see it upon themselves that they are reasonably fit to undertake any safari booked with Zimbabwe Safari Company.
- It is the onus of the client to make sure they consult their local doctor before departure and take any anti-malaria precautions prior to their safari departure.
- Safaris offered by Zimbabwe Safari Company cover wide areas of the African wilds and Zimbabwe Safari Company, its employees or agents shall be held responsible for any injury, loss or other related incidents whilst on the safari.
Baggage
- Clients are advised to inform their Travel Expert of the amount of luggage they intend to bring on safari. Zimbabwe Safari Company encourages all clients to limit their baggage to one soft sports type bag per person with a maximum weight of 15 kilograms. This does not include any photographic equipment and one “overnight” personal holder.
- Due to rugged nature of terrain which may be experienced in some or all part of the safari, Zimbabwe Safari Company shall not be held responsible for damage or loss of any personal items including bags, contents of bags or photographic and related equipment.
Airline clause
12.1 Zimbabwe Safari Company upon request from a client shall act as the agent of the client when booking the client with an airline or air charter service. The contract in this case remains between the airline or charter service and the client and NOT with Zimbabwe Safari Company.
12.2 Charter flights within Zimbabwe and Africa in general are operated by smaller type aircraft such as Cessna 210 and hence baggage is strictly limited to 20kgs per person in soft hold all type bags. It is not safe to overload aircraft thus this limit needs to be strictly controlled.
